A Kids' Party Venue Checklist for Gold Coast Families

Venue photos help you picture a party, but they rarely answer the questions that affect the day. This checklist helps you compare a private studio, play venue, hall or home setup on the same terms before you commit.

Location, arrival and access

Confirm the exact address, how guests enter, where prams can go and whether the route works for anyone with mobility needs. Ask about parking restrictions, public transport and how early the host family may arrive. If an address is supplied only after booking, make sure the general area works for the guest list first.

UKU identifies its private studio as Southport on the Gold Coast and supplies the full address after booking. Parking, accessibility and arrival instructions are not published as universal promises, so request the current details if they matter to your group.

  • Step-free access, toilets and pram storage
  • Air conditioning or wet-weather arrangements
  • Where adults can wait or participate

Capacity means more than a chair count

Ask for both the included guest count and the maximum number the selected activity can safely and comfortably handle. A craft table, spa station and active play space use a room differently. Include attending adults in the conversation even if only children are charged.

UKU’s current party pages list the number of children included in each base package. Extra children can be priced in the builder, but the team should still confirm the practical capacity for the exact activity and date.

Understand the run of the room

Ask what happens from arrival to pickup: welcome, activity, food, cake, games and take-home items. A clear sequence prevents an expensive activity from becoming a short station followed by unplanned waiting time.

Current UKU studio packages publish their duration on each package page and describe a hosted format. Ask how the selected activity fits into that time and whether late arrivals can join without restarting the group.

Food, ingredients and sensitivities

Food inclusion does not automatically mean every dietary need can be met. Ask what is served, where it is prepared, how allergen information is collected and whether outside food or a birthday cake is allowed. For spa, cosmetic, slime, fragrance or sensory activities, ask what products are used and how consent or sensitivities are handled.

Give the venue written information rather than relying on a conversation at pickup. If the provider cannot confirm suitability, choose an activity that avoids the uncertain ingredient or material.

Know what is included—and what is not

Compare venue hire, hosts, invitations, food, drinks, activity materials, styling, balloons, cake service, photos, cleaning and take-home items. Then list anything you still need to organise. This makes a packaged venue and a do-it-yourself hall genuinely comparable.

  • Setup and pack-down responsibility
  • Activity instruction and supervision
  • Decorations and restrictions on bringing your own
  • Food for children and any adult catering
  • Cake, candles, serving and refrigeration
  • Take-home packaging and collection of wet artwork

The five lines to get in writing

Before paying a deposit, keep a written copy of the agreed date and session time, package and inclusions, guest count and extra charges, payment dates, and change/cancellation terms. If the venue makes a special accommodation for your child, include that too.

A good booking summary should make it possible for another adult to understand what has been arranged without searching through social messages or screenshots.
